A corporate offsite that works for your team

Balance the work agenda, stay requirements and shared experiences.

Define the purpose of the offsite. A leadership workshop needs a different setting from a team celebration or a company-wide retreat. Share the agenda, group size, dates and departure cities before asking for resort proposals.

Check the meeting basics in detail: seating format, room dimensions, audio, screens, power, connectivity and a quiet environment. Ask what is included and which items need a separate vendor. Do not rely on the word “conference” alone.

Prepare a rooming plan and clarify your organisation’s sharing policy. Include dietary requirements, accessibility needs and arrival windows. For a large group, room distribution and transport can affect the experience as much as the chosen venue.

Keep outdoor activities optional and suitable for the group. Confirm operator requirements and plan an indoor alternative. Avoid scheduling a fixed early activity immediately after a late arrival or celebration.

Ask for a proposal that separates accommodation, meals, meeting services, production, activities and transfers. Clarify billing names, payment approvals and cancellation terms with your internal team before booking.

Nominate one organiser and one on-site point of contact. Share a concise itinerary and leave some unscheduled time. After the event, record the practical feedback so your next offsite starts with a better brief.
